Lightbulb Rallycross & BBQ Plans

Update: 03-21-01

Here's what we have so far:

-Gas BBQ grill (I'll try to remember to fill the tank) - Bud
-2-cases bottled water (16 oz) - Bud
-Hamburger patties & hot dogs - Mike
-Paper plates & plastic wear - Mike
-Tables - Bill

Some friends of mine may also bring a cooler full of soda, but I have to confirm.

We could still use the following:

-Napkins
-Side dish (chips, beans, ?)
-Ketchup, condiments
-Buns for the burgers & dogs
-Probably can't have too many cold drinks.
-Chairs (Bill, is there a grand stand?)
-Additional shade/EZ-Ups
-Maybe a frisbee?
-Anything anyone else wants to share.

I noticed the following on the www.RallyCrossUSA.com web site:

So, let's work out a few details.

1. I suggest we plan the Subaru meet and BBQ to coincide with the rallycross. This would help keep the non-entrants entertained and would reduce the time requirements for both down to one day. Also many people are already taking Sunday off. It might be hard for people to dedicate both Saturday and Sunday to playing with their cars.

2. If we agree, we should plan a "pot-luck" here (in this thread). I have a good sized portable gas grill that I could bring. (Although I'd have to bring both vehicles to do so.) Does someone want to take charge of a BBQ?

3. Bill, if there's any way to make sure we can get either a porta-potty or at least keys to the Speedworld restrooms (they do have a restroom by the drag strip, don't they)? I think it's important. It will be much easier to convince the wives/SO's and families to show up (which would give Speedworld more entry $$$) if we have some facilities. (What's the obsticle? Cost, time to arrange it? Transport?)

We have some volunteer man-power in this forum. If people will step and help we could make this quite an event without putting undue strain on any one person.

Anyone else? Or, are me and Mike the only ones who're going to eat lunch? I suspect we need volunteers for the following:

1. Someone to bring a cooler of pop & water on ice.

2. Someone to bring some burger patties or hotdogs (or what ever we agree will satisfy most of the people). (Anyone who doesn't want what the majority wants will have to bring their own).

Alternately, we could all bring our own. That way you rich folk can bring filet mignon.

3. Someone to pickup some paper/plastic plates, cups, napkins (maybe a few trash bags).

4. Someone to bring chips, condements, whatever else.

5. Any other side-dishes anyone would like.

Anybody have a portable picnic table? Anybody have a pavillion? Am I forgetting anything?

Are you planning to cook out after the whole event, or at lunch? I'll probalby just barely make afternoon tech so I won't have time to eat. Unless, since there's gonna be some cookin', they move the start time back to give everyone more time to eat.

Ron,

Good question. I think we're going to play it loose enough that exact timing will not be a problem, but we probably don't want to push the race schedule back for lunch. My suggestion is find a buddy whose not going to run their car and ask if they can make sure that you have a lunch available. (Hmm.. maybe if you bring a couple of steaks someone will cook both if they get to eat one of them).

All,

I'm inviting some family and friends (can't have a race without spectators, you know) and I recommend the rest of you do as well. So, maybe the best thing is to have a few "community" supplies like the grill and a cooler of drinks and let everybody bring whatever they want to eat. Of course, if anybody wants to bring stuff to share that'd be great too.

I'll make sure a porta pottie is available and close. We'll have the Solo2 truck, so might be able to loan out an EZ-up for the occasion... AAnything else I can help with let me know... There is parking room for about 400 cars, maybe some cali folks would like to come out for it?

Outstanding! Thanks Bill. It would be great if we had some way to get out of the sun for people who are spectating and/or eating.

Sorry, no portable picnic table here. Heck, I don't even have a picnic table at all!!

But here is what I will bring: I will get the hamburger patties and the hot dogs.

I have a whole boatload of paper plates and plastic eating utinsels. So I will also bring those.

Alright! Way to step up Mike! Don't be to shy to ask for donations. I don't want any one person to bear the brunt of this.

Do we have any count estimates on how many burgers & dogs we need? Anybody want to bring buns?

Do we have a volunteer who is not planning on running their car to man the grill and help make sure everyone is taken care of?

Also, has anybody put the word out on the AZScooby mailing list? Has anybody gotten a message to Dan? He has that portable Subaru pavillion.

Oh, and bring any lawn chairs you can. I think I've got a couple.

... mostly just thinking out loud.

I have no problems bringing the EZ-Up and banner, but due to my limited interest in RallyX and the location of the event, I may not stay very long at all. Having any type of event along side a track event of any kind, Solo 2, rally, etc. isn't really a conducive event for effective communication. I recommend something along the lines of a park, a dealership, a club house, a home, or restaurant for Subaru meets.

Anyways, just my 2 cents. Am I going to have to pay a fee just to enter the place? What times will people be running? What times will the meet be for people that are just interested in that aspect?

Good point. We probably should keep it clear that this is a rallycross event and not really an AZScooby meet. Of course, that doesn't mean we wouldn't enjoy having the AZ Scooby folks who are not running come anyway and cheer or jeer those of us who are running.

Unfortunately, you probably WILL have to pay an entry fee ($10/per car) even if you just stay for lunch. Maybe we can work something out with Bill & Speedworld.

Dan,

If you decide not to come, is there a chance you would lend the EZ-Up to someone who is coming who lives in your area? I'm sure there'd be a few non-sunburned faces who'd greatly appreciate it.

we have extra tables in the Solo truck. If we can get enough attendance (20+ non competitor cars) we can bring the cost down to $5.00 per car, but not any lower than that. They are already changing policy for us, and not charging 10.00 per person. It doesn't bother me none if this is a meet as well. There is plenty of room...

Thanks Bill. Tables will be a big help. I don't know if we'll get 20+ spectator cars though.

BTW: Do you have an idea how many competitors we have? Are we OK, or do we need to go door-to-door recruiting?

There will be for sure 2 with me, but hopefully more if I can round up some more friends. Not that i don't have more than 2 friends. I just can't seem to get any to commit to going up to Speedworld!! And you guys thought I didn't have any friends at all.

OK, my wife had a brilliant suggestion. Why don't we keep this simple, since it's our first attempt at it. Obviously, anyone is welcome to bring whatever they want. However, those of us who are bringing things for the group should try to keep it simple to keep this from getting out of hand.

Mike,

Why don't you just bring a few packs of hotdogs and skip the hamburgers. Bring paper plates if you have them. I'll bring some ketchup, mustard, and relish and that should about cover us for condements. If you bring hambergers, you'll have to worry about keeping them cool and wondering should I bring lettuce, tomato, etc...

All,

This means we still need someone to pick up some hotdog buns and someone to bring some chips. I think my friends are bringing soda, but I haven't verified yet. (More is better, so feel free to bring some extra.)

I'll still bring the grill, gas, and some grill tools so, if you want to bring other stuff to grill go ahead.

Also, chairs and shade will probably be at a premium.
