To all our customers,

Our estimates are by no means binding. We reserve the right to change our pricing after the estimate. By agreeing to an estimate, you also acknowledge that there is the possibility for the given price to change. Also notice, the above prices do not include parts. The cost of parts will be the responsibility of you, the customer. Our estimates will thereby not include the cost of parts, unless requested.

...Also notice that if the prices do change, the increase in price does not include the lube for the IDP.

A tad repetitive? I know I feel stupider after reading it.

Carbon fiber is hard to damage carbon fiber is hard to damage.

Have a professional write it. I wouldn't do business with you after reading that.

its not my business, hell I'm just an office manager trying to throw out a rough copy for the boss as a reference. I do agree that a professional should write it and I'm hoping this will motivate him to do so.

What business are you in? Are you sure that your estimates aren't binding (due to state laws)? I've heard the actual cost must be within 10% of the estimate.

...and if you have a "legal" department...they need to look at it, too. This way you can make sure that whatever is written can be made binding and without loopholes. (well, at least loopholes that aren't big enough for the Governator's Hummer!)

this is an estimate of the cost to repair the above unit. this report does not cover any additional problems which may be discovered once the actual work begins. if an additional cost is invloved, you will be notified prior to the compleation of the repairs with a revised estimate. if you accept the estimate, you are authorising the repairs and will be responsible for the ammount indicated above before your unit can be returned to you.

or: the short version
the estimate for repair of your equiptment is ________ plus applicable sales tax and shipping.
this estimate is based upon a preliminary inspection of your equiptment. upon complete inspection, if the cost will exceed this estimate, [yourcompanyhere] reserves the right to re-estimate the repair service.

Also: good lord, could your original warning contain more carbon fiber?

Just say it once. "This is an estimate, labor only, you pay for parts."

Why not be upfront? go with..

"We are going to low ball our estimate to get your business. Then once we have possesion of your equipment we will say 'we found many more things wrong than what we originally thought. The costs have tripled.' Oh yeah, you pay for parts as well."
